• Ensure overall housekeeping, cleanliness, and presentable condition of office and workshop premises, including coordination of maintenance activities such as cleaning, repairs, renovation, and facility upkeep. • Supervise office assistants, housekeeping staff, and drivers, including duty roster preparation, attendance, leave management, and performance monitoring. • Maintain office assets, furniture, equipment, and administrative stores, including proper record keeping for receiving and releasing documents, tools, and spare parts. • Ensure compliance with security protocols and maintain records of company keys, stamps, employee ID cards, and other administrative documentation. • Manage office equipment and utilities, including printers, telephones, pantry equipment, mobile phones, and internet services. • Coordinate travel arrangements, including airline tickets, visa processing, accommodation, and rental vehicle arrangements. • Manage vendor relationships and administrative service providers, including processing and monitoring vendor bills. • Oversee company vehicle fleet and pool car management, including maintenance, servicing, and usage monitoring. • Develop and implement administrative policies, SOPs, and improvement initiatives to enhance operational efficiency and customer experience. • Manage petty cash for administrative activities and maintain proper documentation. • Coordinate official meetings, events, engagements, and training programs. • Assist HR in employee onboarding, offboarding, and employee engagement initiatives, including monthly birthday celebrations. • Arrange mandatory and skill development training programs for support staff. • Support administrative requirements across departments and perform any other duties assigned by management.
• Master’s / Bachelor's degree in Business Administration or relevant field
• 3–5 years of experience in administration or facility management • Experience in vendor management and office administration preferred • Strong organizational and coordination skills • Good communication and interpersonal skills • Vendor and facility management capability • Problem-solving and decision-making ability • Ability to work independently and handle multiple tasks.
