• Ensure world-class office space, with focus on hygiene, safety and security • Line manage Office Coordinator • Oversee office premises maintenance • Operates and maintains custodial functions • Ensures security and emergency preparedness procedures are implemented properly. • Ensures that the facility is clean and maintained according to company policy and procedures. • Manages and reviews service contracts, including tenancy contracts. • Ensure annual maintenance activities are carried out at appropriate intervals • Ensure all office utility bills are paid on time (electricity, telephone, common services, rent) • Maintain close work relations with office building manager and all service providers • Conducts and documents regular facilities inspections. • Checks completed work by vendors and contractors. • Recommends maintenance, mechanical, electrical, and facility design modifications. • Communicates workplace safety precautions to employees. • Forecasts, allocates, and supervises the financial and physical resources of the facility management. • HSE - First aid training - Fire and earthquake drills - Develop office guidelines for pandemic in line with WHO directives, create awareness and training amongst staff • Security - Ensure office assets (both tangible and intangible) are protected at all times - Develop visitor management policy - Advise Management of security concerns - Develop business continuity plans and disaster recovery plans - Create awareness and training for staff • Manage office vehicles (including annual fitness, tax token and insurance renewal) and drivers, including overtime
• Bachelor’s degree in any relevant field
• 7-10 years’ experience in Administration or Facilities Management function
